We are seeking a detail-oriented and proactive Business Operations & Customer Accounts Specialist to support critical functions across accounts receivable, order management, claims resolution, and customer service. This cross-functional role is key to maintaining operational efficiency and ensuring a seamless customer experience from order placement to final payment. The position will be based in Bentonville, AR.

Key Responsibilities:

Accounts Receivable (A/R):

• Monitor and manage accounts receivable aging reports and follow up on overdue invoices
• Apply customer payments and reconcile discrepancies
• Work closely with finance to resolve billing issues and ensure timely cash flow

  Order Entry & Management:

• Accurately enter sales orders into the ERP system and ensure data integrity
• Communicate with warehouse and logistics teams to ensure on-time fulfillment
• Track orders through the supply chain and proactively communicate delays or issues to customers

  Claims & Disputes:

• Investigate and resolve chargebacks, shortages, damages, and invoice discrepancies
• Coordinate with sales, logistics, and finance teams to validate and respond to customer claims
• Maintain clear documentation and escalate recurring issues for process improvement

  Business Operations Support:

• Assist in maintaining process documentation and workflow optimization
• Analyze operational data to identify trends, delays, or inefficiencies
• Support cross-functional projects aimed at improving internal systems and customer satisfaction

Customer Support:

• Act as a primary point of contact for B2B customers regarding order status, billing questions, and account inquiries
• Provide responsive and solutions-oriented support across phone, email, and ticketing systems
• Build and maintain strong relationships with key customer accounts

  Qualifications:

• 3+ years of experience in operations, A/R, customer service, or a similar role
• Proficient in Microsoft Excel and ERP/accounting systems (e.g., NetSuite, SAP, QuickBooks)
• Strong organizational skills with attention to detail and accuracy
• Excellent written and verbal communication skills
• Ability to prioritize and manage multiple responsibilities in a fast-paced environment
• A strategic, adaptable, and supportive disposition.
