Position Title : Communications Coordinator (CC)

Supervisor: Director of Communications & Marketing (DCM)

Position Summary: Reporting to the Director of Communications & Marketing (DCM) and collaborating with internal teams, the Communications Coordinator supports the planning, creation and implementation of integrated marketing and communications initiatives. The role is both strategic and creative, contributing significantly to raising public awareness of AOTF mission, research programs, and initiatives.
Primary Job Responsibilities:
1. Maintain editorial calendar, collaborate with staff and partners to create content that shows the Foundations impact. Acts as a brand steward, ensuring consistency across all visual and written communications.
2. In collaboration with DCM, maintain website: update content (in collaboration with staff), track website analytics, liaison to website hosting company.
3. Manage emails, track results including open-rate and click-rate.
4. In collaboration with DCM, manage day-to-day activities on social media platforms (Instagram, Facebook
LinkedIn, X, and YouTube).
5. Digital media: in collaboration with DCM, produce weekly email blasts; monthly Research Resources
newsletter; proof quarterly honor society newsletter. Analyze results and adjust to optimize effectiveness.
6. Print media: in collaboration with DCM, produce annual report and a variety of brochures, flyers and signs.
7. Scan news for articles and topics of interest to AOTF stakeholders.
8. In collaboration with DCM, promote and support AOTF events including annual conference: website, email, social media, app; production of AOTF booth and signage; event program brochures, plus on-site support.
9. In collaboration with DCM and Scientific Programs Officer (SPO), reviews proposed program content, arranges rehearsal prep if needed, set up platform for registration and production for events including webinars, follow-up with basic video editing as needed, manages archive and contacts in database.
10. In collaboration with DCM, optimize database learning and using best practices, maximize features to set up structures to ensure integrity and quality, particularly for proper segmentation.
11. Backup support and liaison to the editor and publisher of OTJR: Occupational Therapy Journal of Research .
12. Other duties as assigned, aligned with AOTF’s strategic objectives.
Education/Experience Required:
o Bachelor’s degree (Digital Communications, Marketing, Journalism, and/or English) and/or equivalent 3+ years of relevant communications experience covering the breadth of work responsibilities listed above. This is not an entry-level position.
o Excellent writing and editing skills.
o Ability to function independently and proactively.
o Proven project management skills, with the ability to prioritize competing tasks, manage campaign workflows and meet deadlines with minimal oversight.
o Strong interpersonal and communications skills to effectively interact and collaborate with staff, board member, volunteers and engage and interact with other community partners.
o Experience with HTML, content management systems.
o Proficient in Office 365, Microsoft Office Suite; Constant Contact, Adobe Creative Suite (InDesign, Illustrator, Photoshop, Premiere, Express etc.), Canva, and Zoom.
o Sound judgment and confidentiality.
o Strong team player with ability to collaborate with staff.
Experience Preferred:
o Hootsuite, Blackbaud and/or other CRM platforms.
Physical Demands:
o Normal demands associated with an office environment.
o Ability to work on a computer for prolonged periods.
Working Conditions: This position is a full-time, non-exempt position. Position will be in-person and based at the AOTF headquarters in Rockville, MD. This is NOT a remote position. Position may be eligible for remote work one day per week after 60-day introductory period. May be required to travel and work some evenings and/or weekends. The salary range is $65 - $68K depending on qualifications.
