Job Description

Purpose : This position exists to assist the Human Resources department in all general administrative functions of human resources, supporting all office locations; including training, compliance of employment law practices, administration of pay, benefits and performance evaluation programs, creating a positive work environment for employees, and providing excellent customer service to all levels of staff.

Responsibilities :

New Hires

  • Checking references on potential candidates for hire
  • Sending requests to CHECKR for background checks Pre-hire drug testing on candidates for employment
  • Preparing new-hire paperwork, such as welcome letter and package
  • Setting up employee in PAYLOCITY, prior to hire date
  • Conducting new-hire orientations and scheduling initial new-hire training
  • Conducting performance management software training for new employees
  • On-Boarding Process to include setting up employee in Payroll system
  • Scanning any and all human resources-related files, i.e. personnel, payroll, I-9s, medical files to ensure compliance with Federal and State laws, driving record and history with medical card
  • Assisting in conducting exit interviews
  • Maintaining employee related lists
  • Maintaining new hire forms in Docu-Sign to send to new hires

Payroll

  • Running BIWEEKLY time entry reports in preparation for payroll entry
  • Entering data into payroll prior to reviewing with HR Director/ Company Leadership
  • Running Payroll Reports and loading into file management program
  • Serving as primary processor for BIWEEKLY payroll-process and submit
  • Check times daily for miss punches

  • Calculating payments owed to company for pre-tax and post tax benefits and scheduling for payroll deduction upon employees return from leave of absence

  • Setting up annual open enrollment and new hire enrollment in Payroll program, as benefits change, 401k, and medical benefits
  • Reviewing monthly insurance statements for accuracy and resolving any issues found with providers or employees

Training

  • Registering employees for certifications and conferences, making travel arrangements and hotel reservations as needed
  • Attending human resources-related training and conferences as needed
  • Maintaining Certification files for all employees
  • Performing HR communication and compliance training as needed

Administration

  • Assisting with the scheduling of internal meetings such as face to face performance evaluations
  • Assisting in the organization of annual and interim social functions
  • Acting as facilitator for every other staff meeting
  • Completing required monthly Bureau of Labor Statistics report online
  • Preparing annual Worker’s Compensation Audit
  • File VDWDA Occupational Wage Report with state
  • Assisting in the annual and mid-year performance review processes
  • File quarterly Multiple Worksite Report
  • File Workers Comp claims with provider on employees
  • File yearly 300A OSHA form
  • File quarterly reports for state

Educational and Experience Requirements :

  • Min. Associates degree in Human Resources with 2 - 5 years equivalent work experience in Human Resources
  • Human Resources Generalist experience

Preferred Skills:

  • Excellent customer service and interpersonal skills
  • Above average written and oral communication skills
